The crew is at the client site without trash bags
Supplies go from the storeroom to the vans every morning, and nobody records which supplies went to which van. At a client site the crew needs trash bags, the van has none, and someone must make an extra trip.
Who used the floor machine last?
Vacuums, floor machines and carts move between crews, vans and client sites. When one is missing or returns broken, nobody can say who had it last.

Chemicals and paper goods are ordered from memory. You buy more of what is already on the shelf, and too little of what the crews use every day.

Check machines out to a crew
On the page of a machine or a supply, press Check Out and type the crew member's name. The item's history shows each check-out with that name and the time, so you can see who had a machine last. On the free plan, one person can make changes, and two more people can view each inventory on the web. Two people can make changes on the Essential plan, and five on the Ultra plan.
Low-stock alerts, then a purchase order
Set a minimum level on chemicals, paper goods and microfiber. When the quantity reaches it, the alert appears in the app on any plan. Emailed alerts start on the Essential plan. On the web, a button on the Low Stock report starts a new purchase order with every low item already listed. The free plan includes 100 purchase orders a month, and receiving one updates the quantity.
A folder for the storeroom, each van and each site
Make a folder for the storeroom, each van and each client site, with folders inside folders if you need them. An item is in one folder at a time. To count the same supply in the storeroom and in a van, add it once for each place, with a different code each time. Each of these items is one of the 100 items on the free plan. Move a vacuum to another folder when it goes to another site. The CSV export of any inventory includes each item's folder.
A phone app for the van and the client site
Scan a product's barcode with the phone camera to add it without typing its code. Scanning is free on every plan, and the free plan includes one photo per item. In the iOS or Android app, you can add items and folders, change quantities and move items to another folder with no signal, and the changes sync when the phone is online again. Check-out needs an internet connection.
